At the heart of the webinar was a real-world challenge faced by ampiO Solution’s accounting team. Each month, the team spends up to 16 hours manually matching business credit card statements (provided to every full-time employee) against individual expense reports. With sales staff constantly on the road, the American Express statement included transactions from multiple employees, all lumped together. The manual process required line-by-line verification: cross-referencing the PDF statement with Excel entries, validating amounts, dates, and justifications, and chasing down discrepancies. 

Not only was this process a significant time drain, but it also introduced risks of errors and inefficiencies. As Joseph Khalaf explained, “Reconciling this every month, considering all the credit cards that are out there, is literally about a two-day job once a month.” The accounting team’s struggle was a familiar pain point for many organizations, one ripe for AI-powered automation. 

Enter Agentic AI: intelligent agents designed to automate repetitive tasks and free up valuable employee time. ampiO Solutions identified expense reconciliation as an ideal candidate for this approach. But rather than relying on complex custom code or expensive data infrastructure, the team turned to Microsoft Copilot Studio, a platform that enables users to “write instructions in plain English” and build business tools without traditional programming. 

The solution was elegantly simple. Users could upload the monthly PDF statement from American Express and the relevant Excel expense report. The AI agent, built in Copilot Studio, would parse both files, match transactions by employee name and date, and instantly highlight any discrepancies. All the heavy lifting happened behind the scenes, dramatically reducing the manual workload. 

Joseph Khalaf described the transformation: “We set out on this journey and said, OK, we need an agent where I could go in, drop the PDF onto the agent, drop the individual’s expense report, and allow the agent to do its magic in the background.” The demonstration showcased the agent’s ability to analyze transactions, flag missing entries, and provide actionable insights, turning a 16-hour process into a 10–15-minute task. 

Charbel Saliba offered a behind-the-scenes look at building the agent in Copilot Studio. Unlike traditional development workflows that require writing code, setting up servers, and managing databases, Copilot Studio allows users to describe the desired functionality in natural language. “Anyone who can Google and write instructions could build this,” Charbel noted. 

The agent’s instructions were straightforward: extract the first name from Excel, identify the person’s charges in the PDF, compare amounts and dates, and report what’s missing. The process was highly iterative—prompt engineering played a key role. When results were inaccurate or incomplete, the team refined the instructions, tightened the language, and reran the workflow. Debugging involved adjusting prompts rather than writing new code, making the solution both accessible and flexible. 

The webinar featured live demonstrations using actual expense data. For example, when Eli’s expense report was uploaded, the agent confirmed that all expenses matched the American Express statement, no action required. Janet’s report showed a similar success, with 12 transactions perfectly reconciled. However, Tyler’s report flagged two missing expenses totaling $47.57; the agent identified the discrepancies and provided an explicit notification for follow-up. 

This automated matching not only saved time but also increased accuracy and accountability. The accounting team could immediately notify employees of missing entries, request justifications, and ensure compliance, all within minutes. The agent’s logic was robust enough to handle different months, users, and transaction volumes, demonstrating Copilot Studio’s versatility for business automation. 

While the initial version of the AI agent was published as a web application on Azure, the team recognized the potential for deeper integration. Plans are underway to connect the agent to Microsoft Teams, enabling employees to interact with the AI directly through chat. Automated notifications, real-time updates, and seamless communication are on the horizon, further streamlining the expense management process. 

Copilot Studio’s publishing options extend beyond web apps. Agents can be deployed to Teams, SharePoint, and other platforms, allowing businesses to choose the environment that best fits their workflow. As Charbel demonstrated, adding the agent to Teams is a simple process, making AI-powered automation accessible to every department. 

A key takeaway from the webinar was the importance of iterative refinement. AI agents, especially those built with natural language prompts, require ongoing tuning to achieve optimal accuracy. As Joseph and Charbel discussed, different prompts can produce different outcomes; troubleshooting involves “tightening up the instructions, fixing some sentences, and removing some text.” This approach democratizes AI development, empowering non-developers to build powerful tools with minimal technical overhead. 

User-centric design also played a pivotal role. By focusing on real business needs such as saving time, reducing errors, and improving compliance, the team ensured that the AI solution delivered measurable value. The accounting team’s enthusiastic adoption underscored the impact: what was once a 15-hour chore now takes less than 20 minutes. 

The webinar’s Q&A session highlighted the broader potential of agentic AI. Productivity gains are best quantified through specific use cases, identifying manual processes that can be automated, measuring time saved, and justifying investment in AI tools. Department-level adoption is key; as one participant commented, “Each department should have a few use cases that AI can improve.” 

Copilot Studio’s flexibility enables agents to connect to Power Apps and a wide range of enterprise systems, further expanding integration and automation possibilities. Community resources, such as Microsoft forums, provide a platform for sharing use cases, learning from peers, and discovering new opportunities to leverage AI.
